Every file in ContactsLaw has a default distribution list (determined by its workgroup), which can be customised ad-hoc or as part of file creation. The distribution list determines which contacts and members will receive documents that are circulated using the document distribution activity.
 
The distribution list can be made up of:
  • The file liaison (or, if absent, the client)
  • The file manager
  • The file supervisor
  • The member/contact in a particular role on the file
  • A specific member/contact
It is preferable to build the distribution list using roles, rather than explicitly specifying contacts; in this way, changes to the file contacts will be automatically reflected in the distribution list.
 
Depending on who appears on the distribution list, its behaviour may change:

Members on the distribution list

If a member is added to the distribution list, they will receive documents as a reading document task. The behaviour and options for the task can be configured during distribution process. The document type will determine whether the file manager and/or supervisor members receive reading tasks for the document (by default).

Contacts on the distribution list

For all other contacts added to the distribution list, a covering letter (or e-mail) will be generated using the document creation activity. When used in this way, the activity operates in a cut-down mode where the user arrives at the end of the wizard with sensible options already selected. You can also nominate whether contacts should appear in the To, CC or BCC roles.
