In ContactsLaw, the member termination wizard assists in the process of transitioning an active member to an inactive member. In doing so, the wizard sets an end date (termination date) to the member's employment and transfers ownership of records to their successor(s).
 
Upon completion of the wizard, and once the nominated date falls, the member will be unable to log in to the system.

Termination options

The first section of the wizard is used to select the member who is being terminated and to set the termination date. You can forward-date the termination.

By nominating a 'successor' member at this stage, you can specify who will take over the member's tasks, files and areas of management (by default).

In relation to the member's active tasks, you must who these should be delegated to; you can select a member group or 'anyone authorised'. If the member has a large number of active tasks, you can also elect to delete tasks for activities which have not yet been started.

Documents which are uncatalogued or have not been tabbed to a contact or file only appear on the member's portal tab. For these documents, you must decide whether to permanently delete them or instead tab them to the member's contact.

The termination wizard can also create tasks for payroll and superannuation.

Workgroup management

If the member manages one or more workgroups, you must select a replacement manager for each. If the member has a single successor, management defaults to that member.

Once you have selected new managers (or if the member does not manage any workgroups), you can proceed to the next step.

File ownership

Similar to the process above, if the member appears in any of the following roles on active files, you must assign replacement members:
  • File manager
  • File supervisor
  • Document manager
  • Responsible partner

Replacement members are nominated on a per-department or per-workgroup basis, with the number of files managed, supervised, etc displayed in the grid. If the member being terminated appears as the default selection for any of these roles on a particular workgroup, the defaults will be updated at the conclusion of the process.

You can elect to send notifications to the replacement members about files they inherit as a result of the termination process.

Termination

When the Finish button is clicked on the wizard, ContactsLaw commits all of the above changes.
 
If you elected to create payroll/superannuation tasks and have permission to commence these activities, the tasks will be enqueued; otherwise, they will be sent to 'anyone authorised'.
