In ContactsLaw, the document sending activity is used to assist in the process of delivering a finalised document and then mark the document as having been sent. It is the final step in the lifecycle of a non-trivial letter/fax (documents delivered electronically do not typically include this step).
 
Document sending
 
The document sending activity may immediately following document finalisation, or it may be delegated to another member to be completed separately. Depending on the document type, the activity may appear as part of a document workflow.
 
The activity displays:
  • The document which is to be sent.
  • The file (if applicable).
  • A list of enclosures that must be sent with the document, including whether to send the original(s) or a copy (as specified during document creation).
  • The recipients, grouped according to their role (only contacts in the To, CC and BCC roles are displayed).
  • Any notes or remarks accompanying the task.
  • The method of delivery (and related contact, if collected in person).

Once the member has printed the necessary documents and selected the method of delivery, the document can be marked as sent. This will automatically write the 'sent' date to the document, including the time and member (as directed by the document type - note that if the document type does not include a 'sent' date, this information will not be recorded).

Printing

The activity includes a 'print' function, which will attempt to print the document and its enclosures using their native application(s). Some document formats do not support printing via this method and must be printed manually (by opening the document and accessing the print command in the associated application). This facility operates in one of two modes:
  • Document and copies only - The default option, which is used when printing the bundle of documents for the primary addressee. Any enclosures marked 'original' will not be printed.
  • Document and all enclosures - Used when printing bundles for other recipients. All enclosures are printed, regardless of how they are marked.
