ContactsLaw reports a number of key performance indicators at practice, department, workgroup and member levels. These are summarised on the Overview section of the Performance tab at each of these scopes. A performance target (or "budget") can be defined for each KPI at either the member or workgroup level.

 

The performance indicators are:

  • Sales $ - The amount billed for products during the period, reduced by the value of any credit notes. Disbursements are not included in this figure.

  • Discounts $ - The amount discounted from bills during the period. Discount reversals are not factored into this amount.

  • Surplus billed $ - The difference between the value (as recorded) and amount billed for products during the period.

  • Recovered $ - The amount recovered (via debtor receipts or trust transfers) during the period for products. Disbursements and interest recovered are not included in this figure. Discount reversals will result in larger recovery figures (if those bills have been paid).

  • Debtors $ - The debtor balance as at the end of the period. This figure may differ from the balance on the debtors controlled account if non-file transactions have been posted. At department and workgroup scope, only the relevant files are considered. At member scope, only those files managed by the member are included in the figure.

  • Bad debts $ - The net activity on the bad debts controlled account during the period. The same criteria used for the debtors figure apply to this metric.

  • Time recorded $ - The total value of journals recorded during the period, whether they have been billed or not. Fixed charges are not included in this figure.

    • Hours - The total number of hours of time recorded during the period, determined using the same criteria as above.

  • WIP $ - The balance of work-in-progress as at the end of the period, i.e. the total value of journals recorded prior to the end of the period which also remained unbilled at the end of the period. WIP on archived files is not included in this figure. Fixed charges are not included in this figure.

  • New files # - The number of files created during the period. At member scope, only files managed by the member are included in this figure.

    • Estimated value $ - The total value of products quoted/estimated on files created during the period. The same criteria used for the new files figure applies to this metric. Estimated disbursements and discounts are not included in this figure.

  • Archived files # - The number of files archived during the period. At member scope, only files managed by the member are included in this figure.

    • Average billed at closure $ - The average amount billed for products on files archived during the period, reduced by the value of any credit notes posted. Disbursements and discounts are not included in this figure. The same criteria used for the archived files figure apply to this metric.

    • % Never billed - The percentage of the files archived during the period on which no bills were posted.

    • WIP never billed $ - The total recorded value of unbilled time on the files archived during the period, as at the end of the period.

  • Active files # - The number of files which were active as at the end of the period, i.e. files created before the end of the period which were not archived before the end of the period. At member scope, only files managed by the member are included in this figure.

    • Awaiting archival # - The number of files which have been marked as 'ready for archival' and were still active as at the end of the period. The same criteria used for the active files figure apply to this metric.

  • Prospects # - The number of contacts created during the period which have been assigned a prospective workgroup. At practice scope, this is the total number of prospective clients. At department or workgroup scope, only prospects in that particular department/workgroup are included. At member scope, only contacts created by the member are included.

  • Admin hours - The number of hours of time recorded on admin files during the period. This metric is not displayed at workgroup scope (as a workgroup may contain either client files or admin files, but not both).

Note that, due to their high computational overhead, the performance reports to not auto-refresh when changes are made to transactions/journals/bills/files/etc. 

Further notes

  • When viewing performance for a particular member, fixed charges are pro-rated according to the proportion of charges recorded by that member.
  • Fixed charge types which are marked 'not reportable' are excluded from performance figures.
