In ContactsLaw, the mailout response activity is used to record the response by a contact for a particular mailout. Logging responses allows the effectiveness of campaigns to be evaluated, as well as providing an opportunity for contacts to opt-out of marketing communications.

The activity can be started manually, however the user will also be prompted to record a response when creating a file where the primary client received a mailout (and no response has yet been recorded).

Responded

This type of response indicates that the recipient engaged positively with the mailout; for example, making an enquiry, offering feedback or sharing content on social media. It does not necessarily indicate a conversion or acquisition. Unless otherwise specified, the recipient will continue to receive future mailouts and (if applicable) the remainder of the current mailout schedule.

Returned to sender

Use the 'returned to sender' response type to record when a physical letter returns undelivered/undeliverable or when an e-mail or SMS bounces. This records the fact that the contact did not receive the mailout (or current item on the mailout schedule). After recording this type of response, the member must decide whether to remove or update the address/communication details for the contact. The mailout will not be automatically re-sent if this occurs.

Opted-out

If the response recorded for a mailout is 'opt-out', any scheduled tasks pertaining to the mailout are cancelled and the schedule (if any) will not run to completion. The user is prompted to update the contact's communication preferences, opting them out of all future marketing activities. If this is done, scheduled tasks for any other mailouts will be cancelled and the contact will no longer appear in any contact lists. This type of response is typically associated with 'unsubscribe' e-mails.
